Hi, I’m Karim Iliya. I’m a photographer, filmmaker, whale swimming guide, and I run the ocean conservation non profit Kogia. For the past 10 years I’ve been running my freelance photography and filmmaking business almost entirely by myself, and I’m ready to bring on someone to be my studio admin. I have laid out the groundwork, together with my studio manager, and I’m looking for someone who will learn and take over the admin side of of my work and can take my business to greater heights

What Kind of person I am looking for
I’m looking for someone who is very organized and accountable, efficient, takes initiative, and can manage a wide range of tasks efficiently while contributing to the growth and success of my photography business. Strong communication skills — both written and verbal — are essential for managing client relationships, responding to inquiries, and collaborating effectively with partners. Someone who thrives in keeping the behind-the-scenes operations seamless, all while bringing a detail-oriented passion to every task.
The Role
Your role would be to handle all of the incoming requests of the business. You will learn the ins and outs of the business side of everything at the studio, how the systems are organized and work, emails, communicating with clients, and managing projects. After you learn how to do the administrative tasks and the basic operations of the business. You will manage and filter the emails, prioritizing them, answering them, and passing them on to the relevant person or myself if needed. You’ll deal with incoming client requests from brands, and organizations and help build partnerships, discuss, produce, and organize projects. You’ll be licensing my photos and videos to new and established clients, where you will be in charge of going through the license agreement and negotiating the terms and price. It is also very encouraged that if you see a better way to do something, streamline a system, or create a new system, to try it out and implement it if it works. You should be capable of managing calendars, prioritizing tasks, and handling contracts, invoices, and media files with precision.
TASKS EXAMPLES
Daily - Answer emails, sending video string outs to clients, organizing calendar, keep track of projects and to-do list.
Weekly - Prioritize current projects and tasks, reach out to clients, going through and negotiate license agreements, organize notion / notes / digital space. Weekly call with the rest of the team.
Monthly - Write and send out newsletter, adding newsletter to website. Write photo story to the blog. Collect the receipts for the month, basic bookkeeping to assist the accountant, salary payout, invoices.
Yearly - Assist accountant for yearly tax declarations. wrap up / bookkeeping etc, end of year client wrap up
Other - Update website, travel bookings, research, production, manage print orders / custom prints, assisting in project management tasks
About my work
I spend much of my time documenting the natural world, from the lives of whales to volcanoes and arctic landscapes, as well as different cultures and ways of life. I photograph and film on land, underwater, and using drones to tell the story of life on our planet. I also run an ocean safari company and a non-profit called kogia.org. GOAL
My goal is to be able to spend more time out in the field taking photos and videos and working on projects while someone runs the administrative aspects of my business. The goal is to have things running in a streamlined way so that even when I’m out on a project, everything functions smoothly. I am building a small team of people including a social media manager, video / photo editor, and a producer.
THE DREAM
My dream is to be at the very top of my industry of photography and film making, to work for National Geographic, the BBC, and to tell powerful stories making images that are seen throughout the world. I want to be able to document the world around me to create a real impact on how people see the world, to be able to approach and be sought after by any brand, or organization. I want to be able to build powerful partnerships that allow me to execute different ideas, dreams, and opportunities.
